Knowledge Hub

In this article, you’ll learn how to organize content using folders, create and manage articles, control visibility with tags, and determine when the Knowledge Hub is the best tool compared to courses or learning paths.

Knowledge Hub is a structured space designed for storing internal know-how, documentation, FAQs, and quick-reference learning content. It’s ideal for teams who want to centralize information outside of traditional courses, making it easier for learners to find answers, explore topics, and access resources anytime.

The Knowledge Hub supports onboarding, compliance, product training, and general knowledge sharing in an organized, searchable format.

Explore how the Knowledge Hub works in our quick tutorial:

How the Knowledge Hub Works

Organizing content with folders

The Knowledge Hub uses a tree structure, allowing you to organize content by topic, team, or project. Each folder can hold multiple articles, and you can nest folders to reflect your organization’s structure.

You can easily create folders by clicking New folder and begin uploading content right away.

Creating and editing articles

Inside each folder, you can publish articles including text, images, videos, PDFs, and embedded content. These are ideal for things like safety protocols, product updates, or soft skill guides.

The built-in article editor supports clean formatting, and it helps learners dive deeper into connected topics.

Managing access by tags

Control visibility of folders and articles using tag-based access. For example, you can create a folder visible only to users tagged as “Managers” or “Onboarding.”

To manage access, click the Access button, choose Available by tag, choose a tag, and click Save.

Embedding articles in lessons content

Published Knowledge Hub articles can be embedded directly into course lessons. This lets you reuse your existing documentation inside structured learning content without duplicating it.

When an article is embedded in a lesson, it is visible to all learners and instructors in that course.

Important:

  • Only one article can be attached per lesson, and direct content editing is disabled while one is attached.

  • Visible to all learners regardless of their Knowledge Hub access settings.

  • You can replace, remove, or open the article in a new tab at any time.

  • If the article is unpublished later, admins see an error; learners see the lesson as empty.

When to use the Knowledge Hub?

  • Share reusable how-to guides and SOPs

  • Publish compliance documents or HR policies

  • Support self-paced onboarding with quick articles

  • Make company knowledge accessible

  • Add FAQ’s and troubleshooting tips

Expert Tip: Use the Knowledge Hub to store reusable documentation, and pair it with Courses or Learning Paths for structured training. The Hub handles quick access and reference materials, while courses enforce step-by-step learning, assessments, and completion tracking.

FAQ

Q: How does access to the Knowledge Hub work?

A: Click Access in the top right corner to see the options. Select Available to all learners to make it visible to the learners. To restrict visibility, you can assign access tags so that only learners with the specified tags will be able to see that content. By default, it is set up to None, making it invisible for learners.

Q: Can I include videos and files in articles?

A: Yes! Articles in the Knowledge Hub can include text, images, videos, PDF files, and even embedded content, making them perfect for multimedia learning and internal documentation.

Q: How many articles and folders can I create?

A: There's no limit in amount of articles or folders.

Q: How is this different from a course or learning path?

A: Courses and learning paths are structured for sequential learning. The Knowledge Hub is meant for on-demand access to reusable content like a team wiki or FAQ.

Q: Can I track who reads or interacts with articles?

A: No. The Knowledge Hub is designed for discoverability rather than completion tracking.

Q: Can Knowledge Hub articles be used inside courses?

A: Yes. Admins can embed a published Knowledge Hub article as the content of a lesson. The article will be visible to all course learners regardless of their Knowledge Hub access settings.
