How to Use Tags

In this article, you’ll learn how Tags work in EducateMe and how to use them to automate learner management, mass enrollment, and access control at scale.

Tags in EducateMe are functional identifiers used exclusively for Learners.

They allow you to:

  • Group learners logically

  • Automatically assign courses, course libraries, learning paths, and knowledge hubs

  • Control access to learning content

  • Perform bulk actions such as mass enrollment

Important: Learners never see tags. They are used internally by team members only.


How to create Tags?

  1. Go to Tags

  2. Click Create Tag

  3. Enter a tag name

  4. Choose Tag type (Department, Location, Role, Team, Other)

  5. Create a tag.


How to assign Tags to learners

You can assign tags during learner onboarding:

  1. Go to Learners

  2. Click Invite learners

  3. Invite learners via:

    • Email

    • CSV import (CSV must include a tag column)

    • Link

  4. Select or create tags.

Note: Any courses, learning paths, knowledge hub’s content, or course libraries connected to a tag will be automatically assigned once the learner is invited.


Assign Tags in bulk

You can add or manage tags for multiple learners at once using bulk actions.

  1. Go to the Learners page

  2. Select one or more learners using the checkboxes

  3. Choose Tags from the bulk action menu

  4. Add or remove the required tag(s)

All selected learners will be updated at once. Any courses, learning paths, knowledge hub, or activity content inside courses or course libraries connected to those tags will be applied automatically.

Bulk tag management is especially useful for onboarding new cohorts, updating departments or roles, and maintaining large learner groups at scale.


Edit Tags for existing learners

  1. Go to Learners

  2. Open a learner profile

  3. Click ⋮ (three dots) → Settings → Tags

  4. Add or remove tags as needed

  5. Click Save changes.

When a tag is added or removed, access to learning materials updates automatically.


Usage of Tags

Tags can be assigned only to Learners and are designed to support bulk enrollment and automation. They are especially useful when you need to enroll large groups without selecting learners one by one.

Enrolling learners by Tag

  • Create a tag, for example Department: Sales

  • Assign this tag to the relevant learners

  • Open the course you want to enroll learners in

  • Click Enroll learners

  • Select By tags

  • Choose the created tag

All learners with the selected tag will be enrolled automatically.

This approach ensures that existing learners are enrolled instantly, and any new learners who receive the same tag in the future can be enrolled just as easily.

This is commonly used for:

  • Company-wide onboarding

  • Department training

  • Compliance programs

  • Cohort-based learning

You can use tags to control who sees what content.

Example:

  • Tag learners as Manager (as role)

  • Grant content access only to that tag

  • Only managers will see the content

Best Practices for Tags

  1. Use clear, functional naming

  2. Use tags to improve learner access and relevance

Common patterns:

  • Department: Marketing

  • Role: Manager

  • Team: Customer Success

  • Location: EMEA

  • Other: Compliance-Required

This keeps automation predictable and avoids duplicate or unused tags.

Q: Can Instructors manage learner tags?

A: Yes. Instructors can view, add, and remove tags for learners they manage.

Q: Can Tags be used for mass enrollment?

A: Yes. Tags are the primary way to enroll large groups of learners at once. When a course, library, learning path, or knowledge hub is connected to a tag, all learners with that tag are enrolled automatically.

Q: What happens if I add or remove a tag from a learner?

A: The learner’s access updates automatically. Adding a tag grants access to all content linked to that tag, and removing it revokes access accordingly.

Q: Are Tags visible to learners?

A: No. Tags are internal and visible only to Admins and Instructors.

Q: What is the difference between Tags and Labels?

A: Tags are used only for learners and power automation, such as course assignment, content access, and mass enrollment. Labels are used

only for organizing courses and team members, and do not affect learners’ enrollment or access.
